When to use:
Approved Senior LinkAge Line staff log into MMIS via software downloaded on their computers. Follow these instructions to install BlueZone onto your computer and manage passwords for continuous use.
Policy:
Use the following document to download Bluezone for access to MMIS and/or MAXIS. You will need to work with your local IT staff for initial set-up.
Instructions for installing BlueZone can be found in the Senior LinkAge Line's iSpring in the Knowledge Base section.
Senior LinkAge Line staff with access to MMIS will need to use the procedure below to log in and change a temporary password to a permanent password, or to change your password before the 30-day expiration.
- MMIS passwords must be changed every 30 days.
- Follow the guidelines for selecting a qualified password.
- Passwords should not be:
- Shared with anyone else
- Posted in your work area
- Stored in a manner where it can be seen or used by anyone other than its owner
Note: All screenshots show fictitious or redacted data, not actual personal data.
Once access to MMIS is granted, the MBA-SLL Team will provide you with a log in ID and a temporary password via Genesys chat. The temporary password will expire after three days. Follow the steps below to set your own password:
- Open the Bluezone software and select the appropriate icon depending on the device you are using:
- Type MNCICS1 in the REQUEST field.
- Enter the credentials using the number keypad for the numbers.
- When you first enter the log in credentials, a message will appear saying “The password has expired, please put in a new one”.
- Close out of MMIS completely and then reopen.
- Put in the temporary password provided using the number keypad only.
- Hit tab to move down to New Password. Choose a new password that meets the following criteria:
- Exactly 8 characters in length
- Must contain at least one alpha character, one numeric character and one special character
- The special character should be * $ : = - ! . % ? @ # _ & and cannot be the first or last character in the password
- Cannot contain two of the same character in a row (ex: r@bbit35 or ro$se1233 would not be accepted)
- Passwords cannot be reused for at least 24 password cycles
- Must be retained for a minimum of five days
- Must be changed every 30 days
- Hit the tab key again to move down to (enter twice) and retype new password.
- Hit Enter on the numeric keyboard to confirm
Note: If you see this message “ACF01012 PASSWORD NOT MATCHED”, the passwords do not match or the password chosen is not a qualified password.
For security purposes, you will be required to reset your password every 30 days following the same password character requirements above again.
Locked or suspended accounts:
It is important to note the following:
- Typing in the wrong password three times will lock your account.
- Submit a support request Tool problem/suggestion and select MMIS as the tool to resolve.
- The details of the support request should indicate:
- If the staff knows their password and their account needs only to be unlocked, or if they need a new password as well.
- The staff’s PW user ID and agency email.
- If the user is not in the picklist, “Alma, Ally (test)” can be used.
- Note: To avoid suspending your account after typing in the password incorrectly twice, exit MMIS and then re-enter.
- If staff do not use MMIS on a regular basis and get locked out twice due to non-use, access will no longer be provided to the specialist. This policy does not apply to those who lock themselves out due to entering an incorrect password three times or those who have been out on medical or other approved leave for a long period of time.
- If you do not sign into MMIS for 45 days, MNIT will suspend your account and revoke after 90 days of nonuse.
- If staff do not use MMIS on a regular basis and get suspended twice due to non-use, access will no longer be provided to the specialist. This policy does not apply to those who have been out on medical or other approved leave for a long period of time.
- The original requesting access procedure for new users will need to be followed to resolve nonuse suspensions.
The MBA-SLL Team requires the assistance of another entity to unlock accounts which can take some time.
